Wholesale Ordering Policies

Purchase Minimums  In order to be eligible for wholesale pricing, Wholesale Customers must purchase 10 pounds per order or 10 twelve ounce retail bags. 

Order Submissions All coffee orders must be submitted through Water Street Coffee’s online ordering portal. Customers must place orders online at www.waterstreet.roastertools.com.

Turnaround Time  Coffee is roasted to order, therefore Water Street Coffee requires 48 hours notice for all orders. Orders must be submitted through our online portal two full business days prior to local delivery or shipping departure from the roasting facility.

Local Pick Up Customers Orders are also available for pick-up at the coffee roaster.

*The coffee roaster is only closed twice a year, Thanksgiving Day and Christmas Day. Alternate production or delivery arrangements for these dates will be conveyed electronically two weeks in advance. 

Local Delivery Local delivery is available to select Southwest Michigan wholesale customers. To determine eligibility for free local delivery through Water Street, please contact a Water Street Coffee Sales Representative at 269-488-7177 or sales@waterstreetcoffee.com.

 *Delivery days are subject to change. Water Street Coffee will provide written electronic notice 30 days prior to any route or delivery day changes.

Rush Orders and Rush Deliveries The following fees will be added to any order that does not meet the 48-hour-notice policy. To place a rush order, please call 269-488-2802. Please know that available coffee options may be limited based on quantity required and desired turn around time. 

  • $15.80 Rush Order Fee: Orders are available for pick up at the Roasting Facility by appointment.
  • $42.00  Rush Delivery Fee: Applies only to local Customers when delivered by Water Street Coffee, same day or next day. Eligibility for local rush delivery service is provided at the sole discretion of the Production Manager.
  • Expedited Shipping Fees:  Additional carrier fees apply with rushed shipping orders, regardless of the amount of coffee being shipped. These fees will be added to your final invoice.

*Water Street Coffee reserves the right to change these fees at any time. 

Shipping Free shipping is available on orders of 20 pounds of coffee or more. Customers purchasing brew packs will be eligible for free shipping when two or more cases are ordered at a time. Orders being shipped should allow an additional 2-3 business days for ship time.

Returns Due to the food and beverage health codes, there are no returns on coffee or tea, unless the product is nonconforming. 

Inspection and Resolution for Damaged, Missing or Non-Conforming Products  Customers should inspect all orders upon delivery. Any issues with damaged, missing or non-conforming products must be reported in writing no later than five (5) days after receipt. The Customer may be responsible for furnishing evidence or additional documentation for any delivery disputes. "Nonconforming Products" means only those delivered products, or quantity and condition thereof, which are different than identified in the Order Confirmation.

Once notified Water Street Coffee shall, at its sole discretion, a) replace nonconforming products with conforming products, or b) credit the price for any nonconforming products or, in the event of partial delivery, adjust the invoice to reflect the actual quantity delivered, or c) initiate a claim with the shipping company (USPS or UPS) for missing, stolen or damaged product. Water Street Coffee reserves the right to inspect any non-conforming products. Wholesale Customers acknowledge and agree that the remedies set forth herein are the exclusive remedies for delivery of nonconforming products.

Electronic Communication From time to time, Water Street Coffee will provide Wholesale Customers with communications associated with their account in electronic format. Electronic communications may include, but are not limited to, all legal and regulatory disclosures and communications associated with wholesale accounts or notices and disclosures about a change in the terms and conditions of our wholesale partnership. Water Street Coffee’s ability to provide communications to Customers electronically is dependent upon Customers maintaining a valid email address. To update Customer contact information, email Water Street Coffee at wsaccounts@waterstreetcoffee.com.

Standing Orders As a convenience to Wholesale Customers, arrangements can be made with Water Street Coffee to schedule a standing order. This order will auto generate on a regularly scheduled basis (i.e. no need to order every week, if the order is the same each time). Customers may contact production directly via email orders@waterstreetcoffee.com to create a standing order. With no further action, Wholesale Customers will receive exactly what is on their standing order at their scheduled interval.

If Customers need to change, skip or cancel a standing order. 48 business hours written email notice is required. Contact orders@waterstreetcoffee.com. Refusal on delivery of a standing order without advance notice will require payment in full for the order. 

Finance Charge  Account terms are 15 days, with a 1.5% monthly finance charge (18% APR). Water Street Coffee reserves the right to suspend service when payments become more than 60 days past due.

Water Street Branding/Co-branding for Wholesale  Any use of the Water Street Coffee company name or logo by a wholesale Customer or a contracted designer must be pre-approved. The logo cannot be modified or changed in any way. The logo shall not be used in any manner, which may be considered disparaging or negative. Water Street Coffee reserves the right to refuse the use of our logo or our name. If Water Street Coffee’s logo or name are used in a manner inconsistent with our values or without permission, we may ask you to cease and desist their use. Any Water Street Coffee logo or name usage requires a signed logo authorization agreement. 

Equipment Service All Water Street Coffee maintenance staff are certified Fetco Service Technicians and are qualified to service and repair all Fetco equipment. We offer customer service and technical support 24 hours a day, 7 days a week. 

  1. Labor - $85 per hour. After hours service, weekend rates and holidays are billed at $127.50 per hour. 
    1. Base service fee is $85 (1 hour), after first hour, time is billed in 15 min. increments
    2. Business hours for service are 8am - 5pm, Monday through Friday.
    3. Recognized holidays include the eleven US federal holidays of: New Years Day, MLK Day, President’s Day, Memorial Day, Juneteenth, Fourth of July, Labor Day, Columbus Day, Veterans Day, Thanksgiving and Christmas Day. 
  2. Drive Time - $85 per hour, billed in 15 min. increments

Changes to Wholesale Terms Water Street Coffee reserves the right to change these conditions from time to time as it sees fit. The Wholesale Customer’s continued use of Water Street Coffee’s goods and services will signify their acceptance of any adjustment to these terms. If there are any changes to these policies, Water Street Coffee will notify all Customers by email  and update this posted document on the website. Any changes to wholesale terms will be posted on our site 30 days prior to these changes taking place. Customers are advised to keep this webpage link as a reference and review this statement on a regular basis.
